PRINTER/COPIER FAQ's

What is changing?

A new Printer and Copier initiative is underway which includes the ability to send print jobs to a server and to release them at any of the available Printer/Copiers. The new solution will eliminate the need to buy copy cards. Accounts for all users will also now be electronic, with the ability to monitor your own usage and add funds to your account using a variety of methods.

How do I create a Copy/Print account?

A Printer/Copier account has been created for all new and returning students. Sign in using your MacID and your password. Your MacID must be active in order to use the system.

Please note: returning students MUST re-activate their MacID by October 14th of each year.

How do I add funds to my account?

Funds can be added at any Printsmart Pay Station located in one of the four McMaster Libraries or at Mediashop located in the HSc Bookstore.

Printsmart Pay Stations do not provide change; however funds can be added using quarters, loonies, toonies, $5, $10 and $20 bills, up to a value of $20.

In Spring 2011 you can also add funds online using your credit or debit cards. Check the Printsmart website for more information.

Unused credits are not refundable and the account will expire a few months after your MacID is de-activated.

What can I do and how much does it cost?

All of the Printer/Copiers offer colour as either single or double sided copies. Scanning features are not available at this time due to Access Copyright licensing restrictions.

What can I do about the remaining value on my old Copicard?

Beginning in September, cardholders with existing value on their Copicard can have their value transferred to the new Management system. At the Main desk in each library and at the MPS reception desk within the HSC bookstore, there are envelopes you can use to submit your card and provide required information to complete the process. The existing value will be transferred to your new account within 2-3 business days.

There will also be an opportunity to transfer your funds at a special card transfer station during the middle 2 weeks of September only. These stations will be set up within in both Mills library and HSC library. Please see the printsmart website for further details.

In addition, you will have an opportunity to bring your card to the MPS desk within HSC bookstore beginning September 27th, 2010 and your card will be processed immediately.

It is important to remember that the value on your card does not need to be transferred right away. Funds can be added to your printsmart account at any time.

Please ensure your MacID has been activated prior to requesting your value transferred otherwise your card will be held until the account has been activated.

What happens if I don't logout?

If you do not logout once you are done printing, your account remains open for the next user and they could end up doing printing on your account. The best option to choose when printing is to select “Print and Go” from the menu on the MFD. This option will print all your print jobs in the queue and log you out automatically when your print jobs are complete.

Please note: You cannot switch to the COPY mode from the PRINT release mode without re-entering your MacID and Password.

When copying, you must remember to LOGOUT to prevent the next user from using your account without your permission. It is the responsibility of each user to make sure this step is done to avoid value being lost.

Can I copy/print in colour?

Yes. All Sharp multi-function devices are capable of copying and printing in full colour as well as black and white.

How much are copies/prints?

Is 2-sided copying/printing cheaper?

Yes. With the roll out of the new EquitracTM software, it is possible to charge for different sizes as well as to charge accordingly for copying/printing on both sides. Cost for B&W, double-sided is 9 cents per side.

Can I print from my personal laptop?

Yes, however you will need to download a client for this to work.

There are three clients to use. Click on one and either download it and run it, or, if you're using Internet Explorer, click on the "Run" button when it appears.
 

When you get to the configuration section set it to look like the image below.
 


When asked for the name or address of the Accounting server enter 'pineqt01' or '130.113.213.46'.

 

Wait, you're not done yet...

Once you've finished installing the client, go to your "Printers and Faxes" window (via Control Panel) and add a printer. It should be a Networked printer called \\pinprq01\Campus-Follow-You (this is for staff, or personal laptops).

How long do print jobs stay in the queue?

If not printed, released jobs will remain in the queue for 8 hours.

Can I scan?

The Sharp devices are capable of scanning, however at this time this functionality is not being offered. This functionality will not be available until the campus Access Copyright license has been re-negotiated to include this option.

How do I use the system?

If you are sending a print job from a Workstation, you will be prompted to log in to the system with your MacID and password, select the type of printing required (see the price list above) and then you can release the print job (or do copying) at the Printer/Copier, using the following instructions:

Print/Copier Log-In Procedures

1.  Press “OK”
2.  UserID - Enter your MacID
3.  Password - Enter your MacID password
4.  At the top of the display are 4 options:
     a. Print & Go - Print everything in your queue and automatically log-out
     b. Print - Print specific print jobs from your print queue
     c. Copier - Use the device as a copier
     (To log off the copier press the “*” on the screen)
     d. Logout - Use this to log out of your print queue

When copying, you must remember to LOGOUT to prevent the next user from using your account without your permission. It is the responsibility of each user to make sure this step is done to avoid value being lost. McMaster University is not responsible for user errors.

Where can I report problems if I'm having difficulty using the equipment?

Students can report problems to the IT Help Desk at:

Mills Memorial Library, 2nd floor, Learning Commons - Monday to Thursday (8am to 10pm), Friday (8am to 6pm), Sat (10:30am to 6pm), Sunday (10:30am to 10pm)

Thode: - Monday to Thursday (1pm to 7pm), Friday (1pm to 6pm). Note that there is not IT help available on Saturday or Sunday. Please refer to Mills IT help on weekends.

UTS Service Desk ( x 24357) (Monday to Friday, 8:30am to 4:30pm)

There are also information sheets located at the library IT help desks and “How to” links on the PrintSmart website. If there is a quality issue with the device, problem forms are available at the main service desks of each library, however most problems can be resolved by the IT Help support team.

How do I know which devices copy and which print?

All devices will print and copy. Your print job can be released at any Printer/Copier in any library or residence. If the closest device is not available or busy, you can use another device to retrieve your job.

Can I print from the Reader/Printers in Mills library?

Yes. The same Reader Printers are available on the 3rd floor of Mills library. As with all of the Printer/copiers in the libraries, the Reader Printers will also be connected to the Printsmart payment system. Each R/P will have a computer connected to it and your image from Fiche or film will be displayed on the monitor. Using the same procedures to print in other parts of the library, you will then select the print parameters you wish and send it to the Sharp devices to be printed. Both Sharp devices on 3rd floor will include 8 1/2” x 11” (letter) size paper as well as 11” x 17”(ledger) size paper. If both Sharp devices on the 3rd floor are being used, your print jobs can be printed at any device in any library.

Can I print on paper larger than letter size?(8 1/2" x 11")

With the exception of Maps library, located on the 1st floor of Mills and the Sharp devices on the 3rd floor which allow you to print on 11"x17" paper, the only paper available in the library MFD’s is letter size.

It is very important that you check ALL print settings to prevent jobs being lost and value being charged for that error. The library is not responsible for errors made by the user. Always check the print/copy settings, particularly, proper paper size, B&W vs Colour, single-sided vs double-sided features.
